Privacy notice

This privacy notice is designed to help you understand what kind of information I collect from you and how I will process and use this information. You have a right to know what data is held about you, and this privacy notice will tell you what I do with that information.

I, Aimee Bishop, offer counselling and psychotherapy as a self-employed service provider, under the name ‘Therapy with Aimee’. Aimee Bishop is the data controller of this site and, in accordance with the Data Protection Act (2018), General Data Protection Regulation (2016) and my registration with the Information Commissioners Office (ICO), I am required to provide you with details of how I collect, store and use the information collected.

Acceptance of this privacy notice is deemed to occur upon your first use of www.therapywithaimee.co.uk (“this site”). If you do not accept and agree with this privacy notice, you must stop using this site.

What information is collected?

The data collected for enquiries is your name, mobile phone number and your email address. In response, I may also request information on your availability, therapeutic issues, and other details that I think are relevant to processing your request. Data given in an enquiry from a potential client (e-mails, mobile texts and voicemails) are password protected on phone and laptop devices, and will be kept for six months unless therapy commences. If therapy commences information will be kept in accordance with the BACP Ethical Practice guidelines. I will keep anonymised notes, briefly outlining overarching themes of what we have discussed in session. By submitting your data, you are agreeing to receive the information you have requested.

What information do I share?

I only use your data in relation to the delivery of my services. I do not use it for marketing or to sell to third parties. Our work together will be confidential except for very specific limited counselling reasons when I may need to share your data. All professional psychotherapists and counsellors work to professional codes of ethics and good practice. Regular supervision is a requirement from all professional psychotherapy and counselling organisations. I will, from time to time, discuss some aspects of our work in supervision, but your identity will not be disclosed. This takes place to monitor the professional consistency and ethical standards of our work. Under very rare circumstances, if I believe there was a serious risk of harm to either yourself or another person I would be legally obliged to break confidentiality. If I thought it was necessary to make contact with your GP or any other professional concerned with your care, I would discuss this with you first. Your data will not be submitted to any other company without your prior consent, other than when required to do so by law, or with those data processors used for business operations, who process your data under my control:

  • Google (website tracking and statistical services)

  • Google Ads (if you have clicked an advert from Google Search)

  • Meta (if you have clicked an advert from Instagram)

How long is your data kept?

I am required to keep financial records for my tax returns for 7 years. If you choose to continue with counselling I may keep anonymised client notes for supervision as outlined above. These will be securely disposed of following the supervision session. I keep records of name, telephone and email separately from session notes, and these are retained for up to 7 years after your last session.

How do I keep your information safe?

All information you provide to me is stored as securely as possible. Any paper correspondence or session notes are kept in a locked cabinet. Electronic data or session notes are stored on a password-protected laptop and in a password-protected document. Emails are kept on a password-protected laptop and iPhone for the duration of the counselling, and then deleted. For email correspondence, I use Gmail, which encrypts messages in transit. The transmission of information via the internet is never completely secure and I cannot guarantee the security of your data transmitted to me via email. Any transmission is at your own risk, so please consider the level of personal information you share in email. Gmail, as part of Google, is covered by the US privacy shield. Your personal data (emails and IP address) may go outside of the EEA. See the Data Privacy Framework for more information.
